Most POS systems in Thailand are sold on a monthly basis only. When a vendor does let you buy a lifetime (one-time) licence, shop owners tend to ask the same thing: "which one is the better deal?" There's no single answer, because it depends on how long the shop will stay open and how much risk you can absorb.
This article does the math directly, using GutePOS's real prices as an example — but the way of thinking applies to any vendor.
The straightforward break-even point
The basic formula is lifetime price ÷ monthly fee = the number of months to break even. Use it longer than that and the lifetime purchase is cheaper.
| Plan | Monthly | Lifetime | Break-even at |
|---|---|---|---|
| Starter | ฿590 | ฿19,900 | ~34 months (2 yrs 10 mo) |
| Standard | ฿1,290 | ฿39,900 | ~31 months (2 yrs 7 mo) |
| Pro | ฿2,990 | ฿89,900 | ~30 months (2 yrs 6 mo) |
| Business | ฿4,990 | ฿149,900 | ~30 months (2 yrs 6 mo) |
As you can see, every plan lands in the 2.5-to-3-year range, which is standard for this industry. If a vendor quotes a break-even far shorter than 18 months, be suspicious that some other cost is hidden.
But the numbers above aren't the whole story
The comparison above assumes that once you buy the lifetime licence you never pay anything again — which is only true when you run the system fully on-premise (installed in the shop) with no cloud sync.
If you want to check sales from home, run multiple branches, or keep a backup of your data in the cloud, you need Hybrid mode, which adds a Cloud Sync fee of ฿290/month — and that changes the picture.
| Plan | Actual saving/month (Monthly − Cloud Sync) | Break-even at |
|---|---|---|
| Starter | ฿300 | ~66 months (5 yrs 6 mo) |
| Standard | ฿1,000 | ~40 months (3 yrs 4 mo) |
| Pro | ฿2,700 | ~33 months (2 yrs 9 mo) |
| Business | ฿4,700 | ~32 months (2 yrs 8 mo) |
5 hidden costs to ask about before buying a lifetime licence
Whoever you buy from, ask all five of these and get the answers in writing.
1. How long are updates free, and what happens after that?
"Lifetime" means different things to different vendors. Some give updates for life; others give one year and then require you to buy the new version. With GutePOS you get free updates for 1 year; after that there's an optional annual maintenance pack (AMC) at 12% that you can renew or not — if you don't, the software still works forever and you still get free Security Patches.
2. How many branches is it tied to, and can it move to another machine?
A lifetime licence is usually tied to 1 branch; opening a second branch means buying another. Also ask whether you can move the licence if you change computers or a machine dies, and whether there's a fee.
3. If the vendor goes out of business, does the system keep working?
The question few people ask but that matters most. A system truly installed in the shop keeps running even if the vendor disappears, but one that has to verify its licence against the vendor's server every time will stop instantly. Ask point-blank how often the system needs an internet connection to check its licence.
4. Can you export your shop's data, and in what format?
If one day you want to switch systems, you must be able to take out your menu, products, customers and sales history. You should get an Excel or CSV file you can open yourself — not a proprietary backup that only the original system can read.
5. Are installation and training included, or billed separately?
Some vendors' lifetime prices look cheap but add on-site installation fees in the tens of thousands. Ask clearly what's already included. GutePOS includes free online installation and training on every plan; on-site service is quoted separately, except on the Enterprise plan where it's included.
So which type of shop should choose which?
| Your shop's situation | Recommended | Why |
|---|---|---|
| Just opened, less than 1 year in | Monthly | You don't yet know what shape the shop will settle into; the lump sum is better kept as working capital during the riskiest year. |
| Open 2+ years, sales are steady | Lifetime | You're past the risky stage and will likely keep using the system for years more — it definitely pays off. |
| Small shop, single station, also wants the cloud | Monthly | After adding Cloud Sync the difference is tiny, stretching break-even to nearly 6 years. |
| Shop in an area with poor internet, runs fully on-premise | Lifetime | No Cloud Sync to pay, so break-even drops back to the first table. |
| About to expand to several branches within 1-2 years | Monthly | A lifetime licence is tied to 1 branch; expanding fast means paying the lump sum over and over. |
| Always wants the newest features | Monthly | Monthly gets continuous updates, with no maintenance pack to worry about renewing. |
Don't forget the costs that aren't on the quote
When comparing prices, people usually compare only the software fee — yet the real cost of a POS system is much more than that.
- Forced hardware costs — some vendors are cheap but require you to buy only their devices, which costs more overall.
- Per-feature add-on fees — a kitchen display (KDS), membership system, or QR ordering may be billed separately at hundreds of baht each per month with some vendors.
- Paper and ink — a shop that prints a kitchen ticket for every order spends ฿1,500-2,000 a month; a system that can send kitchen tickets as messages instead saves this entirely.
- Sales lost during downtime — hard to estimate, but the biggest number of all. A shop selling ฿3,000/hour that goes down 4 hours a month loses ฿12,000 — more than a full year of the system fee on some plans.

Conclusion
A lifetime purchase pays off when a shop is past the risky stage and doesn't rely heavily on the cloud, with break-even around 2.5 to 3 years. Monthly suits new shops, shops that are expanding, and shops that need flexibility.
More important than choosing how you pay is choosing a system that actually works for your shop. If the system doesn't fit, no payment model is worth it.
